Cancellation & Refund Policy
At Indic Warriors, we understand that travel plans can change unexpectedly. Our policy aims to be fair and transparent, balancing customer flexibility with the commitments we make to our partners and vendors. We encourage you to review this policy carefully.
1. Cancellation by the Customer
All cancellation requests must be submitted in writing to reply.iws@gmail.com. The date of receipt of the written cancellation request will determine the applicable refund percentage. Please note that the initial deposit paid is 100% non-refundable as it covers administrative costs and initial vendor bookings.
  • 60 or more days before departure: 90% refund of the total package cost (excluding the non-refundable deposit).
  • 30-59 days before departure: 50% refund of the total package cost (excluding the non-refundable deposit).
  • 15-29 days before departure: 25% refund of the total package cost (excluding the non-refundable deposit).
  • Less than 15 days before departure: 0% refund of the total package cost.
Special conditions may apply for certain non-refundable activities, flights, or permits, which will be communicated at the time of booking.
2. Alternatives to Cancellation
We offer flexible options to minimize losses if you cannot proceed with your original booking:
  • Trip Postponement: You may postpone your trip for up to 12 months from the original departure date, provided we receive written notice at least 30 days prior to your original departure. Additional charges from vendors (e.g., hotels, transportation) may apply and will be communicated to you.
  • Transfer to another Traveler: You may transfer your booking to another person, subject to our approval and the feasibility of changing traveler details with our partners. Written notice is required at least 15 days prior to departure. Any fees incurred for name changes (e.g., airline tickets, visa processing, permits) will be borne by the customer.
3. Cancellation by Indic Warriors
While extremely rare, Indic Warriors reserves the right to cancel a trip under specific circumstances:
  • Force Majeure: In the event of unforeseen circumstances beyond our control (e.g., natural disasters, pandemics, political instability, acts of terrorism) that make the trip unsafe or impossible to operate, we will offer alternatives such as rescheduling or a travel credit for a future trip. Refunds, if any, will be subject to non-recoverable costs already incurred with suppliers.
  • Low Enrollment: If a trip does not meet the minimum number of participants required to operate, Indic Warriors reserves the right to cancel. In such cases, we will provide at least 30 days' notice before the scheduled departure and offer a full refund of the package cost. We will not be responsible for any additional costs incurred by customers for independent travel arrangements (e.g., international flights, visas).
4. Refund Process
Once a cancellation is confirmed and a refund amount is determined, Indic Warriors will process the refund to the original payment method within 15-30 business days. Please note that the actual credit to your account may vary depending on your bank or payment provider's processing times. We will keep you informed throughout the refund process.
